The Council for the Built Environment (CBE) wishes to invite Proposals from Prospective bidders for the appointment of a service provider for an Employee Wellness Programme for a period of three years. Quotations are hereby invited for the Provision of event planning and co-ordination services for FSCA Industry-Wide Conference. Scope: The appointed contractor will be required to organise an FSCA industry-wide conference, this includes but in not limited to: - Meeting with the client to understand their needs and goals for the conference. - Working with the identified venue and ensuring that all facilities, equipment and multimedia aspects to be used during the conference are properly set up, in working order and of the highest standard. - Working with the venue to ensure that all technical aspects of hosting the conference are catered for. - Planning the event agenda, recruiting and managing speakers. - Liaise with the venue on behalf of the FSCA in respect of all logistics for the conference. - Organise hospitality and technical staff who will be working during the conference. - Arrange for the online broadcast of the event, looking after all technical and logistical arrangements. - Provide advisory services in terms of all aspects of the conference in a cost effective manner and within the set budget. - Liaise with all relevant suppliers for the event. - Manage the content of the conference, including coordination of the programme, bios, breakaway sessions, presentations, panel discussions, speakers, keynote address. - Identify and liaise with the facilitator/s or moderator/s who will be directing the flow of the conference on behalf of the FSCA. - Provision for all relevant transportation for speakers, facilitators, conference delegates and any additional arrangements in terms of accessibility in and around the conference (inclusive of parking), with openness of using our shuttle services. - Manage invitations/RSVPs, registration, and conference related information to all delegates and speakers. - Along with the venue, manage the catering for the conference. This includes proposing an all-inclusive menu; provision for all tea and coffee breaks; dining hall plans; ensuring that all diets are catered for. This must be negotiated at the best prices on behalf of the FSCA. - Organise all possible collaborations in line with the FSCA guidelines. - Arrange all photography and videography for the event, including the preparation of all promotional items. - Provide a checklist containing deliverables for ensuring a successful event. - Ensure that appropriate security is organised in and around the venue and that all VIP’s within the venue are catered for under the security banner. - Stay within specified timelines for activities set by the FSCA for the conference; and - Managing the event on the day and following up with attendees after the event. - Managing risk and liability, marketing and promotion of the event; - Work closely with the Communication and Language Services Department in coordinating and planning the conference; and - Work closely with supply chain management department for the procurement of goods and services to make the conference a success.
